Terms and Conditions 

Our Ethos 

​

Wildflower is not a franchise, so you are free to use your training with us to create your own unique business (Please see your learning agreement for more detailed information)

​

However, we do ask that information directly taken from our workbooks, social media or website is credited to us.

We also thought it would be a good idea to set out a few basic ‘guidelines for best practice (more information on this is given in your specific course)

​

-Listen, feeling genuinely listened to is invaluable

​

-Don’t judge, we are all in this together, no one way is the right way!

​

-Be inclusive, everyone deserves the right to be seen, heard and supported

​

-Be compassionate, kindness goes a long way

​

-Respect the diversity and privacy of those attending your classes by adhering to GDPR guidelines at all times.

 

-Taking care of our planet is a fundamental part of our ethos - please take an eco conscious approach wherever you can

 

-Never share information from within our closed facebook community, unless it poses a safeguarding risk, in which case to follow government guidelines in reporting this.

 

-Know when to refer- the information in our courses is evidence based and diverse- however, this does not make our practitioners trained to give advice regarding best practice for specific medical conditions

Learning agreement

 

As a learning provider, Wildflower promises to-

 

-Provide evidence based, up to date, relevant course content

 

-Provide course content that can be used to practically support families

 

-Provide an affordable service

 

-Take feedback seriously and respond to written feedback in line with our complaints procedure - we do not guarantee a reply via social media

 

-To provide a safe online space for Wildflower practitioners to support one another

 

Wildflower is not responsible for-

 

-How you use the information provided in this course, within your classes

 

-Any allegation of mispractice by an individual practitioner

Information changing- we do our best to use the most upto date information, but antenatal and postnatal ‘best practice’ is changing every day, We will always endeavour to keep updating our course material.

- Your individual study - as adult learners you are responsible for your own learning and although you are always warmly encouraged to reach out for support, completing the training remains your individual responsibility

Payments

​

Payment plans are available in order to make our courses accessible to all. If you are unable to make your payment on time or would like to request a more affordable short term arrangement please get in touch, we want to help (this is completely at the discretion of Wildflower)

​

Recurring missed payments will incur an admin fee of £15

​

Missed payments with no contact being made will unfortunately result in your access to the course materials being removed and the full payment being due immediately- this is a last resort. We will always try to work something out with you, we want you to be a part of our community.

​

Access to course material is provided once you have booked or on the date given (please note that some of our larger diplomas may require you to complete the modules in a specific order and access to new material may be restricted until this is done in order to ensure you fully understand the foundational components of the course - please contact me if you are unsure if this applies to your course)

 

Refunds will not be issued should you change your mind after booking. A full overview of the course content is available to preview before booking, along with these terms and conditions and you are openly invited to get in touch with any niggles or queries before making payment.

If you are unhappy with any element of the course please do get in touch and we will do everything we can to rectify the situation. Any official complaints should follow our complaints procedure which can be found in this document.

 

Course Material

​

Some of our more extensive diplomas may be released module by module. It is important that you work through the modules in the correct order and complete each module fully before moving onto the next. Full module outlines are available on the website. There are never any time limits imposed. We will always do our best to ensure modules are released on time- however, on occasion circumstances beyond our control may delay this. We will always keep you informed of any delay and rectify the situation at the earliest opportunity.

 

All of our training is intended for use by those working directly with parents. Under no circumstances should our training material be used to provide training for other professionals. Please inform us at the time of booking if you are a training provider or intend to provide training for professionals so that we can discuss this with you.

Wildflower has the right to remove access to training material with no refund and politely ask that our training material is no longer used (including use in parent classes) should you advertise training in any format for other parenting, birth, pregnancy or play professionals (including working for another training provider) as we consider this a conflict of interest.

 

All course material remains the property of Wildflower and must never be shared or altered in any way. This includes creating online courses for parents in your own format with text taken or copied from our training material. Our parent workbooks are all in pdf format enabling you to download and print them or to send them via email.

 

Practitioners must not use Wildflower course material before receiving their certificate of completion - this may result in course access being removed and full payment being required. We take professionalism very seriously and you MUST be fully insured and qualified before practising.

 

Our group spaces will always be safe and nurturing. Wildflower reserves the right to remove any practitioner whose actions are not in alignment with this ethos.

-Courses contain all the information you need to study your chosen topic. They are broken down into sections, if you prefer you can download the material and print it out.

​

-There are a number of video links, these provide you with valuable additional information. We are keen to have a multi faceted approach to learning, to ensure we meet each learners individual learning style. Making notes while you watch the videos will support you to answer the questions later on.

​

-We provide you with a suggested reading list- you do not have to buy these books (i'm aware it gets expensive!) but if you are able to access them online or from the library then they will provide you with a fantastic base knowledge for your training.

 

-We include website links in our reading list - these will provide you with an additional free reference source.

 

-If you share any of our course material or directly quote it, then please do remember to credit Wildflower. 

 

-When you have read the course material and any suggested further reading and watched the video links then please refer to the questions section.

 

 

Answering coursework questions

​

-You are required to answer all the questions as fully as you can- no yes or no answers please! Please show evidence of further reading around the subject to support your answers.

 

-If you feel stuck, please pop into our closed community on facebook and ask for help or just send me over an email- I will try to respond within 7 working days. No question is a silly question!

 

-When you have answered the questions as fully as you can please email them to me as a word document clarecoxdoula@gmail.com. If this is not accessible to you then please get in touch and we can arrange other ways to support your assessment individually.

 

- We will always aim to get your work marked within 10 days. However, occasionally this may be longer

-We will provide feedback on your work and ask for further supporting information if required

 

-Certificates will be issued via email.

 

-We are affiliates of Westminster indemnity insurance, and Bgi insurance (You can find us on their list of approved training providers) This allows you to run professionally covered classes and workshops and to use our training within schools and nurseries. A link to the best insurance provider will be sent to you on completion of your course, to ensure you are insured correctly to practice. Our Yogaroos and Babywearing training has specialist cover which is detailed within the course content.

 

Flexible Assessments

​

In order to make our training accessible we offer a number of ways to complete practical assessments where required, for example our yoga teacher, birth education or massage training programmes.

 

These include:

Submission of videos/zoom assessments 

​

 

You don't need to make a decision regarding how you would like to be assessed until you have completed all of the theory and coursework for your programme.

​

​

Resolution Procedure

 

We are committed to providing the best possible service to our community, but we are human and sometimes things don't go to plan!

​

We take feedback very seriously and will always listen and do our utmost to resolve the issue amicably.

What will happen next?

 

1:  We will send you a letter acknowledging receipt of your complaint within 10 days of receiving it- reminding you of this policy, which is available to you at the time of booking, along with terms and conditions via the website and the online learning platform.

 

2: We will then investigate your complaint fully and send you a further letter proposing a resolution within 14 working days of the date of this acknowledgment

 

3: We will invite you to a zoom or telephone meeting to discuss and hopefully resolve your complaint.

 

4: Within seven days of the meeting, We will write to you to confirm what took place and any solutions We have agreed with you and how these will be actioned.

 

5: If you do not want a meeting or it is not possible, we are happy to continue to correspond via post or email

​

6: Within 7 days of receiving your response to our proposed resolution we will ask you to confirm if you are satisfied with the outcome

 

7: At this stage, if you are still not satisfied, you should contact us again and We will arrange to review the decision.

 

8: We will write to you within 14 days of receiving your request for a review, confirming our final position on your complaint and explaining our reasons.

 

9: If you are still not satisfied, you may wish to contact an Alternative Dispute Resolution agent (ADR) Who will offer free or affordable, impartial mediation until the matter is resolved or provide you with direction as to how to escalate the matter further. This can only be accessed if 8 weeks have passed since the formal complaint was received and no resolution has been reached.

Privacy Policy

Wildflower Training  may from time to time collect, hold, and process personal information (for the purposes stated below).

It will not share this information with 3rd parties or any other party that is not relevant to the services provided by Wildflower Training Exemptions to this policy under the Data Protection Act, 1998 (DPA, 98), may apply.

Information we collect about you
Wildflower Training are committed to keeping your data safe. We may collect the following information if you register your interest or book on our courses through the website:

  • Name

  • Contact Information

  • Age (only if you are completing a regulated qualification)

  • Email Address

  • Emergency contact name and number

  • Prior Learning Information

  • Geographic location

When completing an enquiry form through this website your data is directed via email. However it is important for you to make sure that you maintain the security on your computer when using the internet by updates and alerts, use of a reputable antir-virus/malware software and by taking care when installing plug-ins.

Why we need the information and how it is used

  • To provide you with quotes and information requested by you

  • To provide you with information about other courses that may interest you

  • To let you know of changes to regulations that may affect you

  • To provide the services to enable us to fullfil a contract between you and us (courses/qualifications)

  • To contact you about our services and new courses available

  • To be able to assist you with queries regarding your qualifications

  • For Internal and External Quality Assurance

Where do we store data?

  • Data relating to enquiries and all teaching/ assessing and qualifications is stored on our servers.

  • Any other data is stored on our secure server for the duration of your qualification.

Who we share your data with

We only share data if necessary for certification purposes

The sharing of data is limited to:-

  • Within Wildflower Training on a need to know basis.

  • Our course trainers will be given only your contact name and contact number and any relevant health/ learning issues you have chased to share on your booking for the purpose of the training day and any follow up marking.

  • Wix Website – Our online academy learning provider to enable you to register for any online part of the training where only your name and email address are shared.

  • Mailchimp for marking and newsletter purposes - please not you can unsubscribe at anytime.

  • Teachable

Updating or Correcting Information
Requests for updating or correcting information can be made by email to clarecoxdoua@gmail.com

​

How long we hold the information for
We are obliged to keep information relating to regulated qualifications for seven years, this information will include:-

  • Your name, Contact email and number

  • The date of your qualification

  • Your certificate number(s)

  • Course paperwork

​

All other information with the exception of invoices/billing, can be removed from our systems at your request by email to clarecoxdoula@gmail.com

Individuals can find out if Wildflower Training holds any personal information by making a ‘subject access request’ as applicable under the DPA, 98 which we support. If information is held about you it will:

  • tell you why Wildflower Training is holding it;

  • tell you who it may be disclosed to; and

  • let you have a copy of the information in an intelligible form.

If you wish to make a request to Wildflower Training for any personal information we may hold, you will need to put the request in writing.

If you agree and once identification has been confirmed (in-line with the DPA, 98) Wildflower Training will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.

If Wildflower Training holds information about you, you can ask us to correct any mistakes
